Privacy statement

How we collect and handle personal data, under the GDPR.

Last updated: 1 September 2026. This statement explains how Publicea processes personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Belgian law.

1. Who is responsible for your data

The controller is Huduma VOF, operating under the commercial name Publicea, with registered office at Ekelendriesstraat 5, 1755 Gooik, Belgium, registered with the Crossroads Bank for Enterprises under number 0717.575.316 (VAT BE 0717.575.316). For any privacy question you can contact us at info@publicea.be.

2. What data we collect

  • Contact and enquiry data you provide via our website contact form or by email — such as your name, email address, organisation and the content of your message.
  • Client and business-contact data — the professional contact details of clients, prospects and the officials, stakeholders and representatives relevant to our public affairs work (typically names, roles, organisations and business contact details).
  • Technical data — limited technical information generated when you visit the website (such as IP address and browser data in server logs), used to keep the site secure and working.

3. Why we use it and our legal basis

  • To respond to your enquiry and communicate with you — based on your consent or our legitimate interest in answering requests.
  • To provide our services and manage the client relationship — based on the performance of a contract.
  • To carry out our public affairs work, including maintaining stakeholder and policy contacts — based on our legitimate interest (and that of our clients) in effective, lawful representation.
  • To comply with legal obligations (for example accounting and lobbying-transparency rules) — based on legal obligation.
  • To keep our website and systems secure — based on our legitimate interest.

4. Cookies

Our website uses only strictly necessary cookies required for it to function and remain secure. We do not use advertising or tracking cookies, and we do not run web analytics on this site. If that changes, we will update this statement and, where required, ask for your consent before any non-essential cookie is set.

5. Who we share data with

We do not sell personal data. We share it only with service providers that help us operate — our website host and form provider (Netlify) and our email and office-software provider (Microsoft 365) — who act as processors under appropriate agreements, and with authorities where the law requires it. Where a provider processes personal data outside the European Economic Area, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

6. How long we keep it

We keep personal data no longer than necessary for the purposes above: enquiry data for as long as needed to handle your request and a reasonable period afterwards; client-relationship and accounting data for the periods required by law (in Belgium, generally up to ten years for accounting records); and stakeholder contact data for as long as it remains relevant to our work.

7. Your rights

Under the GDPR you have the right to access your personal data and to request its rectification or erasure, to restrict or object to processing, to data portability, and to withdraw consent at any time (without affecting prior processing). You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Drukpersstraat 35, 1000 Brussels — dataprotectionauthority.be.

8. Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access, and we limit access to those who need it to do their work.
